Cancellation Policy
At White House By Kairos Residence, we understand that plans can change
unexpectedly. Our cancellation policy is designed to be clear, fair, and respectful of
your time — so you always know exactly where you stand.
1. Free Cancellation
We believe in giving you the freedom to plan with confidence. Bookings canceled within
the eligible cancellation window will receive a full refund — no penalties, no hidden
charges, no questions asked.
- The cancellation deadline is clearly displayed at the time of booking and included
in your confirmation email
- Free cancellation applies to all standard and flexible rate plans
- Refunds are processed automatically to your original payment method
2. Late Cancellation
Life doesn't always follow a schedule, and we understand that. However, cancellations
made after the free cancellation deadline may be subject to the following charges:
- 24–48 hours before check-in — A charge equivalent to the first
night's stay may apply
- Less than 24 hours before check-in — A charge of up to 50% of
the total booking amount may apply
- The exact late cancellation terms vary by room type and rate plan — all details
are provided at the time of booking
3. Non-Refundable Bookings
Some of our best rates come with a non-refundable condition — offering you maximum
value in exchange for a confirmed commitment.
- Non-refundable bookings cannot be canceled for a refund once confirmed
- However, date modifications may still be possible subject to availability —
simply contact our reservations team to explore your options
- Non-refundable status is clearly marked during the booking process so there
are never any surprises
4. No-Show Policy
We hold your room with care and anticipation. If you do not arrive on your scheduled
check-in date without prior notice:
- The full booking amount will be charged
- The reservation will be automatically canceled after 24 hours past the scheduled
check-in time
- Any remaining nights in the booking will be released for availability
To avoid a no-show charge, simply contact us before your check-in
date — even a quick call or email is enough for us to work with you on a solution.
5. Group & Event Bookings
Group reservations, corporate bookings, and event-related accommodations may be
subject to customized cancellation terms based on the size and nature of the
booking.
- Cancellation terms for groups will be outlined in your booking agreement
- A dedicated point of contact will be assigned to handle any changes or
cancellations
- We recommend notifying us at least 14 days in advance for any group cancellation
or modification
6. How Refunds Are Processed
When a refund is applicable, here's what to expect:
- Method — Refunds are returned to the original payment method
used at the time of booking
- Timeline — Most refunds are processed within 5–10 business
days, depending on your bank or payment provider
- Confirmation — You'll receive an email confirming the refund
amount and estimated processing time
7. Force Majeure & Exceptional Circumstances
We recognize that some situations are beyond anyone's control — natural disasters,
medical emergencies, government-imposed travel restrictions, or other extraordinary
events.
- In such cases, please contact our team as soon as possible
- We will work with you on a case-by-case basis to offer the most compassionate
and flexible resolution available — whether that's a full refund, credit for a
future stay, or a free date change
8. How to Cancel
Canceling your booking is simple and can be done through any of the following
channels:
- Online — Log in to your account → My Bookings → Select
reservation → Cancel
- Phone — Call our reservations team for immediate assistance
- Email — Send your booking reference number and cancellation
request — we'll confirm within 24 hours
- Live Chat — Connect with our support team in real time
- Front Desk — If you're already with us, our reception team
will handle it on the spot
